The challenge

Sdach Soup sells soup by the bowl alongside abalone, black chicken and scallop soup sets, through online orders, company accounts, franchise branches and wholesale — in both US dollars and riel. Sales, stock and expenses were spread across spreadsheets, paper receipts and a busy Telegram group, so answering a simple question — are we up or down this month, and why? — meant hours of manual reconciliation.

What we built

We built one finance and operations system for the whole business. Sales staff log orders as they happen, the accountant's receipts are read and filed by AI the moment they are posted to Telegram, and the owners open a single dashboard to see revenue, expenses, stock and forecasts for any day of the month. Each staff member only sees the parts of the system their role needs.

Key features

  • 01

    Live business dashboard

Daily revenue against expenses, each product's sales compared with the same days last month, and tomorrow's and month-end forecasts — for any day the owners pick.

  • 02

    AI receipt capture from Telegram

The accountant keeps posting bank transfer receipts to the company Telegram group, exactly as before. A bot reads each one with Claude, pulls out the amount, currency, supplier, category and ABA transaction ID, and files it for review.

  • 03

A human stays in the loop

Nothing the AI reads touches the books until someone approves it. Every entry shows the receipt photos and the AI's own note on how it decided, and can be corrected before approval.

  • 04

Expenses and petty cash in USD and riel

A full expense ledger with suppliers, categories, receipt photos and tracking numbers, live petty-cash balances in both currencies, and spend broken down by bucket — operations, cost of goods, assets and more.

  • 05

    Orders, stock and credit customers

Order books for every product line, drinks and crates, with stock calculated live from checkpoints so a late correction flows forward on its own. Pending orders and credit customers each get a running ledger.

  • 06

    Sales channel and branch analytics

See how each product splits across online, company, franchise, wholesale and staff overtime sales, and how many bowls every franchise location sold this month.

  • 07

    Commission, cash flow and alerts

Tiered staff commission calculated automatically, a cash-flow forecast set against upcoming obligations, and alerts that catch the same bank transaction being recorded twice.

  • 08

    Role-based access

Owners see everything, sales staff see orders, the accountant sees expenses. Permissions are set per person, so sensitive numbers stay with the people who need them.
